Who we are

What we collect

Booking requests: the role, dates, shift times and venue you need cover for, your name, position, phone number and email, and any notes you add.
Chef registrations and job applications: your name, contact details, town, experience, availability, right-to-work and transport answers, the job you applied for, and any notes you add. If we go on to work together we will ask for right-to-work documents, references, certificates and payroll details separately.
Messages: your name, organisation, contact details and the content of your message.
Technical information: the page you sent the form from, a hashed (not readable) version of your IP address used only to prevent spam, your browser type, and campaign tags if you arrived from an advert.

Why we use it

To arrange the booking, placement or reply you asked for; to confirm bookings in writing; to run payroll and comply with employment and agency regulations where we employ or place you; and to keep records of our business dealings. The legal basis is taking steps at your request before entering a contract, performance of that contract, our legal obligations as an employment business, and our legitimate interest in running the business and preventing misuse of our forms.

Who sees it

Booking details are shared with the chef assigned to your shift. Chef details (first name, role and experience) are shared with the venue you are booked into. We use Supabase (database hosting, UK/EU region), Vercel (website hosting) and Zoho (email and CRM) to run the business. We do not sell personal information or use it for marketing lists.

How long we keep it

Enquiries and applications that do not lead to a booking or placement are deleted after 24 months. Records of completed bookings and employment records are kept for six years after the relationship ends, as required for tax, employment and agency regulations.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct or delete it, or object to how we use it, by emailing hr@zoltstaffing.co.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk.
